Role

The Bid Support Manager will work with the Rail London and South team to plan, manage and deliver winning bids in a cost-effective manner. The Bid Support Manager will ensure that the end-to-end bid process is followed as well as adherence to all necessary bid procedures and governance. This role requires an ability to influence, organise, work under pressure and to challenging deadlines. The successful candidate will have strong people management and commercial skills.

Role Objectives

  • To plan, manage and support the delivery of cost effective winning bids
  • Works with the bid team to develop a clear bid win strategy and bid storyboard, and ensures win themes are client outcome focussed and included into the bid responses
  • Develops and implements bid programmes and plans, ensuring all contributors deliver on time and to quality whilst keeping them informed and motivated
  • To manage the Oracle Sales Cloud database ensuring all opportunities are accurately captured
  • Provides pipeline reports to inform resource needs, upcoming bid cost and revenue forecast
  • Working with the “Winning Work” Team, Operations Director (OD) and Business Director (BD) to ensure that Business Units Sales Targets are achieved
  • To work with the “Winning Work” Team, Operations Director (OD) and Business Director (BD) and Central Bid Support Team (CBST) in ensuring that company systems, the bid processes and risk management issues are addressed
  • Manage responses from the technical teams and ensures that the final technical submission is in a common style in compliance with the bid strategy
  • To manage the development of the commercial bid model in collaboration with the technical teams and the sector commercial team, including preparation of documentation for internal governance approval and compliance with company system requirements

Responsibilities:

The main responsibilities of this role include, but are not limited to:

  • In conjunction with the “Winning Work” Team, Operations Director (OD) and Business Director (BD) UK Bid Director determine win strategy for the bids
  • Prepare and execute the Bid Plan
  • Contact person for all incoming tenders and clarifications
  • Project manage the production of a portfolio of PQQ’s and bids at any one time
  • Produce all the necessary supporting documents required as per company system requirements, organise and attend appropriate bid reviews
  • Direct the Technical Specialists in the production and review of the quality submission, development of the tender programme, resource schedule and commercial model
  • Liaise and work with CBST team for the planning and production of the bid submission
  • Direct the commercial team in the production of commercial fee submission
  • Liaise with CBST Legal support team in the assessment of Terms and Conditions and appropriate responses for the bid submission
  • On success or failure of the bid ensures we obtain feedback from the client and based on these make appropriate recommendations to the UK Bid Director and SMD for future bids
  • Arrange for handover to Project Manager of successful bids including the risk register
  • In conjunction with CBST support team develop an effective information management database to drive greater efficiency in production of prequalification and bid submissions
  • Comply with the Company systems for bidding
  • Ensure bids run to budget and programme
  • Continually identify and explore business opportunities within the bid context
  • Support in the development of training programmes for the bid managers
  • Keeping the Bid Manager classification list updated

Experience and Qualification Requirements:

The Bid Support Manager will preferably be an individual with a demonstrable track record in producing winning bids and strategies. Ideally the individual will be degree qualified, and will have a background in winning work and strategic bidding. Experience and qualification include:

  • Proven leadership and people management skills
  • Experience in analysing bid invitations, diagnosing key issues & risks, and identifying the bid win criteria
  • Experience and knowledge of techniques for planning and controlling bids
  • An enthusiasm for creating winning bids / passionate about client outcomes and bid success
  • Experience of working in a structured sales and marketing environment
  • Sound understanding of commercial challenges
  • Knowledge and experience of the management of full range of bid risk and opportunity
  • Technological understanding for the level of projects undertaken
  • Ability to generate technical text by pulling together inputs from a number of sources and distilling this into a coherent story
